Role Overview
We are looking for a highly organized and dynamic Project Manager and Executive Assistant to work closely with our President, supporting in executing strategic initiatives and managing critical projects. This role will internally be referred to as Chief of Staff.
The Chief of Staff will act as a right-hand person to the President, reporting directly to them, and playing a crucial role in enhancing the efficiency and effectiveness of the Kasasa executive leadership team, as well as the Operations Leadership team. This position requires a combination of strategic thinking, analytical skills, and leadership qualities to support the execution of the President and CEO’s vision and company objectives. The ideal candidate will have a proven track record in project management, strategic planning, and providing executive administrative support.
RESPONSIBILITIES
- Infuses the Patch Values into your work ethic, every day and every interaction.
- Coordinate and manage critical projects and initiatives directly on behalf of the President and CEO with timely and successful execution, including creating timelines, budgets, managing stakeholders and contributors, as well as all aspects of the deliverables and overall creative production.
- Manages the President and CEO’s heavy calendar, requiring interaction with internal and external executives and assistants to schedule and setup a variety of meetings. It is expected that this person would think of themselves as the President and CEO’s productivity manager, proactively filtering calendar time to reflect their priorities, while ensuring maximum efficiency.
- Additional executive administrative duties: making extensive travel arrangements, processing expense reports, catering meals, hosting guests, and continuous maintenance of the President and CEO’s email queue as well as other incoming inquiries to ensure that all items are addressed and responded to with appropriate priority.
- Event planning – including team meetings, offsites, training, and celebratory events etc.
- Taking and disseminating meeting notes, following up and ensuring execution on outstanding items.
- Serve as a strategic advisor providing insights and support on a wide range of issues.
- Facilitate communication between the Executive team and other departments within the company, ensuring alignment with company goals and objectives.
- Prepare and review strategic documents, presentations, and reports for internal and external meetings.
- Represent the President and CEO in meetings and discussions when necessary, acting as a liaison to internal and external stakeholders.
- Conduct research, benchmarking, and analysis on various topics to inform strategic decisions.
- Oversee a team of 2 Executive Administrators that support the Executive Team

QUALIFICATIONS
• Bachelor's degree in Business, Management, or a related field; an MBA or similar advanced degree is icing on the cake.
• Minimum of 3+ years in project management
• Minimum of 3+ years providing executive level support, to include C-Level Executives or Senior Management
• Exceptional organizational, analytical, and strategic planning skills.
• Strong leadership qualities and the ability to manage cross-functional teams.
• Excellent communication skills, both written and verbal, with the ability to effectively convey complex ideas.
• Highly adaptable, with the ability to thrive in a fast-paced and dynamic environment.
• Exceptionally strong work ethic: nights and weekends shouldn’t scare you (it’s not every night and not every weekend, but if the job needs done, we need to know we can count on you to hit a deadline)
• Discretion and confidentiality in handling sensitive information.
• Proven ability to work independently and make sound judgments on a day-to-day basis regarding assigned and ad hoc duties with very limited or absence of direction.
• Extremely proficient in Microsoft Excel, Word, PowerPoint, and Outlook; willingness to learn and work in Paycor, Lattice, Evernote, Mac OS (including Keynote) and Salesforce.
• Extra credit: Deep understanding of the tech industry, market trends, and business operations.

• This role is required to work onsite at the Kasasa offices 5 days a week.

PHYSICAL REQUIREMENTS
- Sitting for extended periods of time; approximately 5-6 hours per day
- Simultaneous use of hand, wrist and fingers
- Daily operation of standard office equipment
- Frequent use of oral communication to perform work
- Lifts and moves 7-10 pounds occasionally
